Bulk Email Parents of a Class (Teachers)

Description

This document explains a process for sending one email message to the parents of all of students currently enrolled in a class. This is available to all teachers through the teacher-side of PowerSchool.

Directions

  • If you haven’t done so yet, make sure that clickable email links work for you. If you’re uncertain if you’ve done this yet, do it again. Doing this twice will not harm anything.
  • Select a class by clicking on the “backpack” icon on its row.
  • Click on “Email Parents in THIS Class”, which is near the bottom of the left-hand side. This will load SquirrelMail in a new window. You may need to login.
  • Login to SquirrelMail, if prompted.

You should now be in a “Compose” screen inside SquirrelMail. All the students’ guardians’ email addresses should be filled into the BCC (Blind Carbon Copy) line. We use the BCC line instead of the TO line in order to keep everyone’s email address private.

  • Click on the BCC line. Using the right-arrow key on the keyboard, scroll through all of the email addresses. Remove anything that doesn’t look like an email address. This will avoid any errors or bounce-backs when you send your message. There are probably going to be several bad entries. These are caused by missing or incorrectly entered email addresses. (Tip: On MacOS X, hold down the Option key while pressing the right-arrow key in order to skip whole words instead of single letters.)
  • Enter a subject, as usual.
  • Enter the body of the message, as usual.
  • Use the Spell Check, as usual.
  • Click “Send” when ready.
